QRoll is an attendance and academic-record tool for teachers, built on Google Sheets and Google Apps Script. This page explains what data QRoll handles, where it lives, and who controls it.

What data QRoll handles

When you (a teacher) open QRoll, you sign in with your own Google Account. QRoll then works entirely inside your own Google Drive — it creates one Google Sheet as your private workspace (or, if you already have one, attaches to it) and stores everything there:

Your teacher profile — name, designation, department, college name.
Your student roster — names, roll numbers, and university roll numbers, entered by you or imported from a file you upload.
Attendance records, marked either by you or by a student scanning a QR code you display in class.
Assignment, mid-term, practical and CCA marks you enter.
A 6-digit console PIN you choose, used only to lock the console screen on a shared device — this is separate from your Google password and is never sent anywhere outside your own workspace.

None of this data is copied to any server, database, or account other than your own Google Account. There is no separate QRoll backend — the "console" you use is Google Apps Script code running under your own Google identity, reading and writing your own Google Sheet.

Students' data

Student names, roll numbers and attendance are entered and controlled by the teacher, as part of ordinary institutional record-keeping, and live in that teacher's own Google Sheet. QRoll does not separately collect, see, or store this data anywhere else. A student who scans the QR code to mark their own attendance submits only what is needed for that (their identifying roll number and the class session) directly into the teacher's workspace.

Google permissions QRoll requests, and why

Google Sheets — to create and update your workspace spreadsheet (roster, attendance, marks, reports).
Google Drive — to create your workspace file, and for one specific feature: attaching a supporting document to a CCA grace-marks entry, stored privately in your own Drive.
Gmail send — only to email you a one-time PIN reset code, to your own signed-in address, when you use "Forgot PIN?". QRoll never reads your mail and never emails anyone else.
External requests — used only to call Google's own Sheets export endpoint, to generate the PDF versions of registers, reports and award lists you explicitly ask for.

What QRoll does not do

No advertising, no ad tracking, no analytics, no third-party scripts or cookies of any kind.
No data is sold, shared, or shown to anyone other than the signed-in teacher who owns that workspace.
No workspace can read another teacher's data — each Google Sheet is private to the account that created or was given it.

How long data is kept, and deleting it

Your data is kept for as long as your workspace Google Sheet exists. Since it is an ordinary file in your own Google Drive, you control it directly: you can open it, export it, or delete it at any time the same way you would any other Google Sheet. Deleting the Sheet deletes the data. Revoking QRoll's access from your Google Account permissions page stops QRoll from accessing your workspace going forward.

Changes to this policy

If this policy changes, the "Last updated" date above will change with it. Material changes will be reflected here before they take effect.
